Why You Need an Exhibition Emergency Kit

Exhibiting at the correct events can bring huge benefits to your business so it is crucial you prepare every element before-hand to increase the chances of your exhibition going well. Even after months of preparation, things can go wrong at the event and having an emergency kit will help you deal with unforeseen issues.

An exhibition emergency kit? – You’re probably thinking “what on earth is that and why would I need one?!”

Well, an exhibition emergency kit is a self-made kit full with useful items and is great to have to provide damage control and avoid any mishaps that might occur during an exhibition or event. After all, we’ve all been there when you’re looking for a pen or your electronics are running low on battery and your left frantically searching for a charger.

The best way to avoid these situations is to pre-plan and organise an exhibition emergency kit which you can reuse time and time again. After all, not being prepared i.e. running out of business cards, pens etc can have a damaging effect on your corporate image – something nobody wants after the expense of an exhibition.

If you’re an exhibition pro, you probably already know from past experience which items you should pack in your kit to plan for all eventualities. However, if you’re a novice exhibitor and are stuck on idea’s then here are a few suggestions on items to include in your kit:

Stand kit equipment:

The great benefit of exhibition stand kits is that they are reusable. We recommend you test build your stand before each event to ensure no pieces are missing and make sure you pack it away carefully. You can’t afford for a missing piece to ruin your exhibition and it’s a good idea to include spare parts and tools in your emergency kit. Here are some ideas of what to include:

  • Specific tools for your stand
  • Multi tool
  • Screw driver
  • Screws
  • Measuring tape
  • Velcro
  • Hammer/Mallet

Electronics:

As the exhibiting world evolves and develops, more and more electronic devices are being used. Whether it be for display purposes, marketing purposes, capturing information or staying in contact with other team members, it is vital you maintain sufficient charge on all electronic devices. This is why we recommend you include some of the following in your exhibition emergency kit:

  • Spare chargers for each electronic device
  • Portable chargers or ‘powerbanks’
  • USB chargers
  • Extension lead
  • Batteries

Stationary:

It’s always a good idea to take extra stationery with you to an event because the last thing you want is to be securing a really good potential lead and having no way of recording notes or customer information. It also damages your credibility and looks very unprofessional. Stationrry is always handy to have at an exhibition or so be sure to include some of these items in your kit:

  • Spare business cards
  • Scissors
  • Pens
  • Note Pads
  • Highlighters
  • Paperclips
  • Sticky Tape

First aid/ sanitation:

It’s important to take sufficient first aid and sanitation items with you to look after the welfare of your staff members and keep your stand sanitised and clean.

Here’s what we recommend taking:

  • Wet wipes
  • Hand sanitiser
  • Tissues
  • Bin bags
  • Headache tablets
  • Antiseptic wipes
  • Breath mints

Once you return from your exhibition, check and if necessary, restock your emergency exhibition kit after every event. Also, add in anything that you realised you didn’t have but needed.
