How to Pick the Right Exhibition Staff for Your Next Event

Picking the right team for your next exhibition can make or break the success of the event.

Your staff need to have the same drive and ambition for making the show successful as you do when planning the event.

You can spend your entire exhibition budget in the most effective way possible but if your team isn’t going to deliver on the day, it’s all been for nothing.

As with anything, it’s all in the planning. You should think carefully about who to take and which qualities each of them have that can help make your event a successful one.

Here are a few things to consider for when picking your exhibition team:

Professionalism

Having professional staff with the right attitude will get you far. There’s no point in taking staff who are just out for a jolly and a chance to leave the office for a few days. They should have the drive and passion for the business and if your staff have that passion they are far more likely to put the effort in that is needed.

For your staff to promote and sell your brand, your team need to believe in the products and services. They should also be able to hold conversations with many people and not be put of by the fact they will be meeting 100s of new people. Normally, the more outgoing and energetic they are, the better they will be for your stand.

Appearance

It’s not just about taking a pretty face, it’s about how people present themselves and their mannerisms. A professional attitude will go a long way and will represent that business as it should.

Team members should know how to act and speak when in the presence of potential customers. They should be clean and tidy and take pride in their appearance, after all they are representing your brand.

Experience

It’s important to ensure your exhibition staff know about the businesses products and services they are selling, and have the confidence to make it sound like they know their stuff.

When people visit your exhibition stand they need to know they are in capable hands and are being provided with correct and precise information.

Numbers

Once you’ve selected the individuals you then need to consider the logistics of the event. How many people will you require on each day to man the stand. With each person having different and unique qualities you may need to consider who will work best with who. 

Depending on the size of your stand and your expected footfall, at the very minimum you will require two people on the stand at all times. You may want to consider a third so that when one member of staff needs a quick break you are still left with two people manning the stand. It’s a good idea to take the extra person so that breaks can be staggered.

Pre-Event Training

It’s important you provide your staff with the correct amount of training before the event. They need to know the expectations and objectives for the event. If they don’t understand the exhibition and what is expected of them this will be clear to potential customers.

Roles

People each have their own strengths and weaknesses. It might be a good idea to assign people with specific roles throughout the event. For instance, a long-standing member of staff with years of knowledge might be good for providing technical or complex information. A member from the sales team will be best for closing a sale or sealing a deal with a new customer. It may be worth having a host or entertainer on hand to greet clients and handle them until time is available with a more senior member of staff.

There are many things to consider when selecting your team, but with careful consideration and planning, your team can boost the return on your investment.
