After a busy exhibition, it is tempting to pack everything away as quickly as possible and move on to the next task. However, a little care at the end of an event can protect your exhibition stand, make your next setup easier and help you get more value from your display investment.
Whether you use a pop up stand, fabric backdrop, LED lightbox, promotional counter or a complete modular exhibition stand, this post-show checklist will help keep your display looking professional for the next event.
1. Take photos before you dismantle your stand
Before packing anything away, take a few photographs of your completed exhibition stand. Capture the overall layout, graphics, furniture, lighting and any accessories you used.
These photos are useful for several reasons. They give your team a reference for the next event, help identify which layouts worked well and make it easier to spot any damage that may have occurred during the show. If you regularly exhibit at different venues, create a simple folder for each event so you can compare stand layouts over time.
2. Check your hardware and graphics for damage
Once the stand has been dismantled, inspect each component before it goes back into its case. Check frames, poles, connectors, feet, lighting, carry cases and graphic panels or fabric prints.
Look out for bent frame sections, missing fixings, loose connectors, damaged zips or marks on printed graphics. It is much easier to resolve a problem when you discover it straight after an event, rather than during setup at the next one.
If a component needs replacing, make a note of the exact product name, size and configuration. This will help ensure you order compatible parts or replacement graphics.
3. Clean graphics and hardware before storage
Exhibition stands can collect dust, fingerprints and marks during an event, especially in busy halls or outdoor environments. Wipe down hard frames, counters and accessories with a soft, dry cloth before packing them away.
For printed fabric graphics, always follow the care guidance supplied with your display. Make sure graphics are completely dry before storing them, as moisture can cause creasing, odours or damage over time.
Taking a few minutes to clean your stand now means it will look its best when it is unpacked for the next event.
4. Pack every component into the correct case
Carry cases and padded bags are designed to protect exhibition equipment during transport and storage. Wherever possible, return each item to its original case and avoid overfilling bags with unrelated items.
Pack graphics carefully to avoid sharp folds, and make sure frame sections, lights and accessories are secured so they cannot move around in transit. If your display has multiple cases, label them clearly with the stand name, size and contents.
A simple label such as “3m Fabric Backwall – Frame and Feet” or “Pop Up Stand – Graphics and Lights” can save valuable time when preparing for your next event.
5. Store your display somewhere clean, dry and secure
Good storage helps extend the life of your exhibition stand. Keep cases in a clean, dry area away from damp conditions, direct heat and anything that could crush or damage the equipment.
Avoid stacking heavy items on top of display cases, particularly where fabric graphics, lightboxes or lightweight aluminium frames are involved. If your team stores several display systems, keep a simple inventory so it is clear what equipment is available and where it is located.
6. Record what worked well at the event
Your post-show review should cover more than the condition of the stand. Take a few minutes to record what worked well and what you would change next time.
For example, did visitors respond well to a particular message? Was there enough storage space? Did you need more lighting, a larger counter or additional brochure holders? Was the stand easy for your team to assemble?
These notes can help you improve future exhibition layouts without having to start from scratch each time.
7. Refresh your stand with replacement graphics
If your exhibition hardware is still in good condition but your branding, campaign or product range has changed, replacement graphics can be a cost-effective way to refresh your display without buying a completely new stand.
Many reusable display systems can be updated with new graphics, including selected fabric exhibition stands, LED lightboxes, pop up displays, counters, flags and banner systems. It is important to order graphics for the exact product, size and configuration, as dimensions and fixing methods can vary between systems.
Existing XL Displays customers can log in to the Customer Centre to view the Replacement Graphics option for eligible previously purchased products and begin their reorder journey. This makes it easier to reuse compatible hardware while updating your message for a new campaign, event or season.
If you are unsure which replacement graphic you need, have the product name, order details or photographs of your existing display ready before contacting our team.
Get ready for the next event
A well-maintained exhibition stand is ready to work harder for your business. By checking, cleaning, packing and storing your equipment properly after each event, you can protect your investment and make future exhibiting quicker and less stressful.
When the time comes for a new campaign or updated branding, replacement graphics can help give your existing display a fresh new look while allowing you to keep using the hardware you already own.
