Exhibition Stand Installation Tips

Exhibiting at an event or trade show can be a stressful experience for new exhibitors and seasoned pro's alike, and a large part of that stress often comes from setting up an exhibition stand.

The vast majority of people have little to no experience in assembling a promotional display, so it's understandable that this would be a contributor to the worries that come with exhibiting.

Those who opt for build and burn displays won't have to worry about installing and dismantling their exhibition stand because a specialist team will be on hand to help, but exhibitors with portable display stands will have to do it all themselves. 

Whilst this sounds overwhelming, portable exhibition stands are designed with easy assembly in mind. That being said, being prepared will go a long way to reducing your trade show stress.

Venue Rules

Most event venues have rules and regulations in place to ensure visitors and exhibitors are safe during the event. These rules might range from height restrictions to a ban on hanging displays. It's important that prior to investing in a display stand you ask for venue guidelines. In doing so you are ensuring that your planned exhibition stand is compliant with the rules and that you're not spending money on a display that can't be used. 

It's also a good idea to check when you are allowed to set up your trade show stand. If you can set up a day or two before the event starts, this will give you ample time to make sure everything is where it should be and to get yourself familiar with your surroundings without having to rush.

Staff Roles

As mentioned earlier, bespoke and custom exhibition stands are slightly more confusing and intricate to assemble and therefore outsourcing a professional installation team is best. 

If you have a portable display like a pop up exhibition stand, a fabric back wall or a roller banner that you can assemble yourself, it's worth setting roles within your team to help speed the process up.

Having one or two people responsible for setting up the exhibition itself and another one or two people in charge of accessories such as leaflets and free gifts is the most efficient way to get your display assembled.

Health and Safety

Exhibition stands and display equipment all have different requirements for assembly, so it's important to make sure you have the right number of staff for setting up.

For example, a roller banner can be easily assembled by just one person, but bespoke and modular exhibition stands require more people to install to ensure staff members are not injured.

Exhibition Emergency Kit

Before leaving for your event you need to make sure you have the correct tools needed to set up your exhibition stand. Whilst most portable displays have a tool-free assembly, it's important you double check what's needed to set up before you leave for your exhibition. Taking an emergency exhibition kit with you is a great idea to make sure you're covered for all eventualities.

Post-Event Disassembly

Most exhibitions consist of multiple long days, so when they're finally over it's only natural that the first thing you'll want to do is pack away as quickly as possible. Rushing to take down an exhibition stand is where most issues arise; namely stands getting damaged or parts going missing. An easy way to avoid this is to take the same approach to disassembly as you would to assembly: give staff set roles to maximise efficiency without compromising the condition of the exhibition stand.
